Encore Medical Research is a fast-growing, multi-site clinical research organization with locations across South Florida. Our Boynton Beach site is expanding, and we are looking for an experienced Clinical Trial Recruitment Coordinator to support patient recruitment, retention, outreach, and front desk operations.

This is a key role for our site. The right person must be comfortable speaking with patients, handling a high volume of calls, following up consistently, managing leads, supporting social media outreach, and helping convert interested candidates into qualified study participants.

This position will work under the direction of the Project Manager and the Director of Recruitment and Retention.

Position Summary

The Clinical Trial Recruitment Coordinator will be responsible for identifying, contacting, pre-screening, and following up with potential clinical trial participants. This role requires strong communication skills, excellent phone presence, persistence, organization, and the ability to build trust quickly with patients.

We are looking for someone with experience in clinical trial recruitment, phone sales, call center operations, customer service, BDC, or patient engagement. Prior experience in a car dealership BDC department is highly valued because this role requires similar skills: fast follow-up, lead tracking, high call volume, appointment setting, and strong conversion ability.

This person will also assist with front desk activities and patient-facing support as needed.

Key Responsibilities

Contact potential study participants by phone, text, email, and other approved communication methods
Conduct initial phone pre-screening based on study-specific criteria
Schedule qualified candidates for screening visits
Follow up consistently with leads, missed calls, no-shows, and pending patients
Maintain organized recruitment logs and lead tracking systems
Support patient retention efforts through reminders and follow-up communication
Assist with social media outreach and engagement for clinical trial recruitment
Help manage or support site social media pages and recruitment campaigns
Communicate study opportunities clearly and professionally to potential participants
Work closely with CRCs, investigators, site leadership, and recruitment management
Assist with front desk duties, including greeting patients, answering phones, confirming appointments, and supporting patient flow
Escalate patient questions to clinical staff when appropriate
Maintain confidentiality and follow HIPAA, GCP, and site SOPs
Support recruitment events, community outreach, and patient engagement initiatives when needed
What This Role Requires

This is not a passive administrative role. We need someone who can work leads aggressively but professionally, stay organized, and keep the recruitment pipeline moving.

The right candidate should be able to:

make a high volume of outbound calls
build rapport quickly
explain study opportunities clearly
overcome hesitation without pressuring patients
document every interaction accurately
follow up until there is a clear outcome
schedule patients efficiently
communicate well with the clinical team
keep patient experience and compliance at the center of the process
Required Qualifications

Minimum 5 years of experience in phone sales, call center, customer service, patient recruitment, BDC, or similar high-volume communication role
Experience recruiting patients for clinical trials preferred
Experience managing or working with social media pages preferred
Familiarity with medical terminology required
Strong phone communication and follow-up skills
Excellent organization and attention to detail
Comfortable working with lead tracking systems, spreadsheets, and basic office software
Ability to handle a fast-paced, high-volume environment
Professional, reliable, and patient-focused
Ability to work full-time on site in Boynton Beach, Florida
Preferred Qualifications

Prior clinical trial recruitment experience
Prior Clinical Research Coordinator experience preferred, but not required
Previous experience in a car dealership BDC department strongly preferred
Bilingual English/Spanish preferred
Experience with social media outreach, Facebook pages, Instagram, community groups, or digital lead generation
Experience with medical offices, healthcare call centers, or patient scheduling
Knowledge of HIPAA, GCP, or clinical research operations
